Overview

Sharps Workplace Services was appointed by a prominent UK rail company to manage the complete relocation of their Head Office. The project required meticulous planning and seamless execution over a single weekend to avoid operational downtime. With our Prince2-certified Project Manager leading the operation, Sharps delivered a comprehensive relocation service encompassing IT, office furniture, storage logistics, and post-move support.

Project Scope

  • Users Relocated: 197 staff
  • Schedule: Weekend move to avoid business interruption
  • Locations: New Head Office + nearby storage facility

Services Delivered:

    • Strategic move consultancy and project management
    • IT disconnection, relocation, and recommissioning
    • Furniture disassembly, relocation, and reassembly
    • Packing and unpacking of all crates and office contents
    • Off-site storage transfer of designated assets
    • Crate hire and logistics coordination
    • Contingency management and post-move support

Pre-Move Planning

Three collaborative planning meetings were held between our Prince2-certified Project Manager and the client’s Senior Project Managers. These sessions resulted in a detailed relocation schedule, designed to commence after business hours on a Friday and conclude before the start of business on Monday.

A comprehensive pre-move briefing was delivered to all supervisors and operational staff, ensuring clarity and alignment on responsibilities and expectations.

Execution & Challenges

  • Phase 1: Full IT disconnection and packing at close of business on Friday
  • Phase 2: Systematic dismantling and relocation of office furniture and contents over the weekend
  • Phase 3: Recommissioning of IT equipment and setup at the new site by Monday morning

All designated assets for storage were catalogued, verified, and transported to a nearby Rail Storage facility, with each item double-checked upon arrival.

A major challenge arose during the move when the lift at the origin site failed. Sharps’ team adapted quickly, manually transporting all equipment down two flights of stairs—ensuring timelines remained intact and the client’s operations were unaffected.

Results

  • Zero disruption to business operations
  • All project phases signed off by Rail company’s delegates
  • 100% compliance with the agreed schedule and inventory
  • Successful weekend turnaround of full Head Office relocation
